Privacy Policy

This Privacy Policy explains how the CoolOps mobile app (hereinafter the “App”) collects, uses, and protects user data. This app is developed by Platka Digital and distributed to AC service companies (hereinafter the “Company”) as self-hosted software.

Important: CoolOps is an internal app for a Company's technicians. When you log in to the App, your operational data is sent to the server owned by the Company you work for, not to Platka Digital's servers. Your Company acts as the data controller; Platka Digital only provides the software.

The App collects the following data, solely to perform AC service operational functions:

• User identity — technician's full name, login email/username, and internal user ID. Used for authentication and a per-job audit trail.
• Service report photos — before/after work photos you take with the camera or pick from the gallery. Stored on the Company's server.
• Digital signature — the customer's signature you capture on the device screen when a job is completed.
• Precise location (GPS) — location coordinates when you tap the “Depart” and “Complete” buttons on a job. No background location tracking.
• Basic device information — operating system version and App version, for error diagnosis.
• Server configuration — the workspace code or Company server URL you enter/scan during onboarding. Stored securely on the device locally.

The App does not collect: contacts, calendar, messages, call history, biometric data, health data, or any data beyond what is listed above.

• Display the job list and history to technicians.
• Attach documentation evidence (photos, signature, location) to each job as part of the Company's operational process.
• Record an audit trail of when and where technicians start/complete a job.
• Keep your login session secure using encrypted tokens in secure storage (Keychain on iOS, Keystore on Android).

The App does not use your data for advertising, marketing profiling, or sell it to third parties.

The CoolOps app does not use third-party analytics, advertising, or tracking SDKs (no Firebase Analytics, Facebook SDK, Google Ads, Amplitude, Mixpanel, etc.). There is no call-home, no telemetry sent to Platka Digital.

In line with Apple's App Tracking Transparency framework, this App does not track users across apps or websites.

• Your Company's server — all operational data (jobs, photos, location, identity) is sent only to the backend server of the Company you work for. The server location is determined by the Company, usually on a VPS or cloud they manage themselves.
• Discovery service (optional) — on first onboarding, the App contacts Platka Digital's static discovery service to map the workspace code to the Company's server URL. This service only receives the workspace code (letters/numbers with no personal meaning) and stores no data beyond the public registry.
• Apple/Google — distribution of the App through the App Store and Play Store is subject to each platform's policies.

Operational data is stored on the Company's server. Retention period, backup procedures, and access controls are determined by your Company's policy. Contact your Company's administrator or HR for questions about your specific data.

Data stored on your device (login token, preferences) is deleted when you log out or uninstall the App.

• Communication between the App and the Company's server uses HTTPS/TLS.
• Authentication tokens are stored in the Keychain (iOS) / Keystore (Android), not in plain SharedPreferences/UserDefaults.
• Passwords are never stored on the device; only encrypted tokens with a limited validity period.

In line with Law No. 27 of 2022 on Personal Data Protection (the PDP Law) and international privacy practices, you have the right to:

• Access your stored personal data.
• Correct inaccurate data.
• Delete your data (subject to the retention the Company sets for operational/legal obligations).
• Withdraw consent at any time, with the consequence of being unable to use the App.

Because your Company is the data controller, requests related to these rights must be submitted to the administrator of the Company you work for. You may also contact Platka Digital at [email protected] to be forwarded if needed.

CoolOps is intended for adult professional technicians (age 18+). We do not knowingly collect data from minors.

We may update this Privacy Policy from time to time. Changes will be published on this page with an updated “Last updated” date. Use of the App after changes are published is considered acceptance of the new policy.
